Introduction
Welcome to Stageworks. We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, and safeguard your data when you use our platform, including our web application and mobile application available on iOS and Android.
Information We Collect
We collect information that you provide directly to us, including:
- Account information (name, email address, password)
- Phone numbers provided for guest accounts and patron contact information
- Organization and venue details
- Event information you create or manage
- Transaction and payment information necessary to process orders
- Communications you send to us
Authentication Data
We offer multiple authentication methods, including Google Sign-In and Sign in with Apple. When you authenticate using these providers, we receive limited profile information (such as your name and email address) as authorized by you through those services. We do not receive or store your passwords from these third-party authentication providers.
Device and Mobile Data
When you use our mobile application, we may collect the following additional information:
- Camera access: The app uses your device camera solely for QR code scanning during event check-in. Camera data is processed on-device and is not stored or transmitted to our servers.
- Device storage: Authentication tokens are stored securely on your device using the platform's secure keychain (iOS Keychain / Android Keystore). These tokens are used to maintain your authenticated session and are not accessible to other applications.
- Push notifications: If you opt in, we collect a device token to deliver push notifications related to your events and account activity.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process transactions and send related information
- Send technical notices, updates, and support messages
- Respond to your comments and questions
- Monitor and analyze trends, usage, and activities
- Detect, prevent, and address technical issues and fraud
Information Sharing
We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:
- With your consent or at your direction
- With service providers who perform services on our behalf (e.g., payment processing, hosting)
- With Sentry, a third-party error and crash reporting service, to diagnose and fix technical issues. Sentry may receive limited technical data such as device type, operating system version, and error stack traces. No personally identifiable information is intentionally sent to Sentry.
- With authentication providers (Google Sign-In and Sign in with Apple) to verify your identity during login
- To comply with legal obligations or respond to lawful requests
- To protect the rights, property, and safety of Stageworks, our users, or the public
Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. On mobile devices, authentication tokens are stored using the platform's secure keychain (iOS Keychain / Android Keystore), which provides hardware-backed encryption. However, no method of transmission over the internet or electronic storage is 100% secure.
Mobile Application
Our mobile application for iOS and Android provides additional functionality for event management and check-in. In addition to the data practices described above, the following applies specifically to the mobile app:
- The app requests camera permission solely for scanning QR codes during event check-in. No photos or video are captured, stored, or transmitted.
- Authentication credentials are stored securely on your device using the platform's native secure storage (iOS Keychain / Android Keystore) and are never stored in plain text.
- The app uses Sentry for crash and error reporting to help us identify and resolve technical issues. Crash reports may include device model, OS version, and application state at the time of the error.
- You may sign in using Google Sign-In or Sign in with Apple. These services share only the information you authorize (typically name and email) and are governed by their own privacy policies.
- You can revoke the app's access to your camera or notifications at any time through your device's system settings.
Data Retention
We retain your personal information according to the following timeframes:
- Account data: Retained for the duration of your active account and for up to 30 days after account deletion to allow for recovery.
- Transaction records: Retained for 7 years to comply with financial and tax reporting obligations.
- Event and ticketing data: Retained for 3 years after the event date for record-keeping and dispute resolution.
- Error and crash logs (Sentry): Automatically deleted after 90 days.
- Authentication tokens (on-device): Removed when you log out or delete the app.
If a longer retention period is required or permitted by law, we may retain certain information beyond these timeframes.
Your Rights
You have the right to:
- Access and receive a copy of your personal information
- Correct inaccurate or incomplete information
- Request deletion of your personal information
- Object to or restrict certain processing of your information
- Withdraw consent where we rely on consent to process your information
Cookies and Tracking
We use cookies and similar tracking technologies to track activity on our service and store certain information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent.
Children's Privacy
Our service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you become aware that a child has provided us with personal information, please contact us.
